The person that a caller is trying to reach is often not available right away when they first try to call, and then the whole time-consuming process begins of calling back again and again. Now, wouldn’t it be nice to be met in such situations with an appropriate message and, for example, to able to reach someone else who could help you from the same department on the self-same call. By clever use of musiphone® NEXT LEVEL systems and relevant set-up of your telephone equipment, intolerable ‘engaged’ or ‘nobody there’ situations can finally be consigned to history. Instead, a friendly, obliging message comes on the line and initially apologises for the non-availability of the person the caller is trying to reach. Then the caller is offered several new options, such as being connected with someone else in the same department. It is also possible to have calls passed through to reception or for callers to leave a message requesting a call back.
Optionally, where callers are unable to reach the person they are dialling they can also be given the opportunity by the musiphone® system to dial another extension straight away (by keying in the number on their phone). The NEXT LEVEL system then makes the desired connection, without the caller first having to put the phone down and call in anew.
At the telephone switchboard a few well-chosen questions can also be used to preselect calls and unburden reception staff. For example, the NEXT LEVEL system’s welcoming announcement can initially ask whether callers’ questions are of a sales or technical nature and then direct the call to the correct department. Even by entering just two digits, over 100 options are possible.
And finally, intelligent configuration and use of announcements and music can be underlined still further by tailoring how callers are greeted to suit the time of day, e.g. with ‘Good morning’ or ‘Good afternoon’, which thanks to musiphone®’s time control feature is fully automatic and therefore no problem at all.
